Aavin Coimbatore embarked on a major digital transformation initiative to modernize its Business-to-Business (B2B) supply chain, specifically focusing on the distribution and ordering of premium quality milk and dairy products. Aavin currently services a significant customer base, including close to 1,000 booths and 10,000 card customers. The company distributes milk to various entities, such as Booths & Aavin Parlours, Government & Private Institutions, and Other Unions (like Tirupur/Ooty).


The Challenge: A Reliance on Manual Processes

Prior to adopting the Kultivate solution, Aavin Coimbatore’s milk supply cycle was highly dependent on manual operations, leading to inefficiencies and a lack of real-time visibility. The inherent structure of the traditional system presented several critical challenges:

  • Absence of Online Ordering: Orders were placed manually at the sales counter, as there was no available online facility for customers.

  • Cash-Dominated Transactions: Almost all transactions across the supply chain were conducted using cash payments.

  • Manual Logistics Planning: Essential distribution tasks were executed manually twice daily, including the preparation of booth-wise milk distribution lists, route planning for the trucks, and truck-wise milk segregation.

  • Lack of Centralized Visibility: A critical issue was the lack of a consolidated view across all sales counters, making overall management and reporting complex.


The distribution system required the Aavin Plant to handle "Booth wise order sheets" and necessitated trucks making 40 routes each trip, picked up twice daily. The reliance on in-person, daily, or monthly ordering amplified the complexity of coordinating these trips.


The Solution: Kultivate Paalam – Digitising the Supply Chain

Kultivate introduced a comprehensive Cloud Application designed to enhance collaboration, accessibility, and scalability across Aavin’s dairy supply chain. This solution, referred to as the Kultivate Paalam implementation, digitized ordering, payments, logistics, and management reporting.


The solution ecosystem consists of three main components:

1. Aavin Website (B2B Ordering Platform)

The Aavin Website allows booth agents and card customers to place orders, pay online, and view their order history. The platform supports registration for various customer types, including general customers, booths, parlours, private institutes, government institutes, and those placing special events/orders.


2. Aavin Mobile App (Ordering and Distribution Management)

The mobile application caters to card customers and booth agents, enabling them to place and efficiently manage orders. Crucially, Aavin officials also utilize the app to manage incoming orders and efficiently plan milk distribution, leveraging the ability to geo-tag booths. The app includes features such as order history, transaction logs, and a wallet balance.


3. Aavin Portal (Management and Logistics Hub)

The Aavin Portal provides officials with a centralized dashboard and control centre for managing the digitized operations. This portal is essential for several key back-end processes:

  • Order management.

  • Indent preparation.

  • Gate pass generation.

  • Route management.

  • Generating various MIS reports.


The Transformation: Achieving 100% Online Operations

With the integration of Kultivate Paalam, Aavin Coimbatore successfully transitioned its core B2B supply chain to a fully integrated digital model.


The new system streamlined the entire supply cycle:

  • Digital Ordering: Card Customers, Booths & Aavin Parlours, Government & Private Institutions, and Other Unions now Place Order through the Aavin Website/App.

  • Centralized Processing: All orders flow through the Kultivate Cloud Application. The Aavin Sales Counter is connected to this system via the Aavin Portal/App Ordering System.

  • Automated Logistics: The Aavin Plant receives centralized data for Indent Preparation. The system then generates the Gate Pass/Route Plan, allowing for efficient management of the 40 routes utilized during each distribution trip.


This transformation has shifted Aavin Coimbatore from a reliance on error-prone, cash-based, manual operations to a robust, scalable cloud solution, providing officials with the real-time data and consolidated view necessary to efficiently serve their close to 1,000 booths and 10,000 card customers.


Analogy: The transformation implemented by Kultivate is like moving from running a large library using only handwritten index cards for every book (manual lists, route planning, cash transactions) to utilizing a sophisticated digital catalogue system where inventory, lending, and returns are all managed instantly and accessible from any device.
